Is the Lab Report Wrong—or Was the Sample Never Representative of the Machine in the First Place?

Technical Explanation

Representative Sampling means collecting a sample that reflects, as closely as possible, the condition of the oil actually circulating through the machine. A good Sampling Point is usually located in a Live Zone where oil is flowing and mixing consistently, not in a Dead Leg or a location where contaminants naturally settle, unless the purpose is specifically to examine what has settled there.

A Sample Port that is not flushed before sampling can fill the sample with stagnant oil, dust, or Deposits from the Sampling line. Likewise, sampling after Shutdown, after a Filter Change, or immediately after adding new oil can produce results that cannot be compared with the previous Trend.

Consistency is as important as location. Samples should be taken from the same point under similar Operating Conditions, using clean containers, with key information recorded such as Operating Hours, Oil Temperature, Top-up, Filter Change, and abnormal events.

Poor Sampling can create both False Alarms and False Confidence: some points can make the results appear dirtier than they really are, while others may appear cleaner than the area the machine is actually experiencing.

Impact on Decisions

• Unnecessary oil or Filter changes based on non-representative results.
• Missing genuine Wear or Contamination signals from the machine.
• Broken Trend continuity that prevents meaningful degradation analysis.
• Time spent repeating tests and questioning the Lab without correcting the Sampling Process.
• Unreliable Acceptance Criteria after Filtration/Flushing work.

Recommended Approach

Create a Sampling Map for Critical Equipment: Routine points, pre-/post-Filter points when justified, Drain Samples for Investigation, and points used for post-Service Acceptance. Each point should have a clear purpose.

Create a Standard Sampling Procedure defining Port Flushing, Bottle Cleanliness, Operating Condition, Labeling, and Chain of Information so that Lab results can genuinely be compared as a Trend.
